Administration jobs are varied and fast-paced, with a strong focus on customer service, organisation and digital skills. 

Your role will involve helping employees and customers to make sure the business runs smoothly. This includes answering phone calls and emails, adding information into databases and looking after company files.  

 

What are the different administration jobs?

Almost every business has an administration role, from a receptionist or data entry assistant to an office manager: 

 

Administrative assistant 

This is a varied job that involves everything from booking meeting rooms and filing records, to printing documents and answering phone calls.  

It is usually an entry level position that requires no previous experience.  

 

Data entry assistant 

This role involves typing up information from handwritten documents, recordings and phone calls so they can be viewed online. 

You will also need to keep information up to date and might be asked to create reports on specific types of data.   

 

Receptionist or secretary 

A receptionist’s main responsibility is to answer questions from customers or members of the public. This will often be face-to-face, as well as via email or phone call. 

Secretaries also answer a lot of queries, but take on several administrative duties too, like arranging meetings, note taking and organising events.  

 

Office manager 

If you have experience from an administration job, you can work towards becoming an office manager. This will involve looking after on-site facilities, like ordering supplies, organising repair work and making sure the office is safe. 

You might also manage a team of people.  

 

What skills do you need to work in administration? 

  • Excellent timekeeping – stay organised and ensure tasks get completed on time 
  • Verbal and listening skills – to communicate with employees and customers 
  • Attention to detail – you might work with data, files and personal information 
  • Digital skills – almost all administration work will be done on a computer 
  • Reliability, patience and flexibility – no two days will be the same and you will need to remain calm and professional.
